How to Get your Nonprofit Listed on GuideStar

501(c) nonprofit organization

GuideStar automatically creates a Nonprofit Profile for 501(c) organizations registered with the IRS. If, however, your organization has only recently received tax-exempt status from the IRS, it is possible that it is not yet in our database. We will be happy to create a profile for you. Please follow the steps below.

 

If your organization is not a religious one, please re-confirm that it is not already listed on GuideStar by typing in the Employer Identification Number (EIN) you received from the IRS in the “Search for Nonprofits” box.  If you do not find a listing for your organization, please forward a copy of the Letter of Determination the IRS sent your organization after you filed a Form 1023 or 1024. 

 

You may email the requested information to us at outreach@guidestar.org fax it to 757-229-8912 or mail to GuideStar, 4801 Courthouse St., St. 220, Williamsburg, VA 23188.  Once we have received all of the information we will be happy to create a listing on GuideStar. It normally takes 3-5 business days to process the request. If faxing, please include an email address so that you may be contacted once your organization has been listed on GuideStar.

 

*PLEASE NOTE: IF YOUR ORGANIZATION IS MANUALLY LISTED ON GUIDESTAR, IT WILL NOT BE VERIFIED AGAINST IRS FILES UNTIL YOUR ORGANIZATION APPEARS ON THE IRS BUSINESS MASTER FILE AND/OR PUBLICATION 78.

Church or religious organization

GuideStar has specific inclusion requirements for organizations requesting to be listed on the site. In order to complete your organization’s listing, we require all of the following:

  • The year your organization was founded;
  • A copy of a Federal IRS document that has your congregation’s name and the EIN number assigned to your organization preprinted on the form. Form 941, payroll tax receipts, EIN Issuance Letter, are all acceptable documentation.
  • A copy of the Church listing in the parent Church National Directory OR a copy of the State Registration OR a copy of the Sales & Use Tax Exemption issued by the State.

You may email the requested information to us at outreach@guidestar.org or fax it to 757-229-8912. Once we have received all of the information we will be happy to create a listing on GuideStar.  It normally takes 3-5 business days to process the request. If faxing, please include an email address so that you may be contacted once your organization has been listed on GuideStar.

 

IRS Business Master File and Publication 78

Churches and/or religious organizations are not required to apply for tax exempt status (Form 1023) with the IRS.  Therefore, they will never appear on the IRS Publication 78 (Select Check).  If a church or religious organization chooses to file a 1023, which is an official request for an IRS ruling, then they will receive a Letter of Determination and appear on the IRS Publication 78 and IRS Business Master File.

Government entity (Public schools, libraries)

An organization that has not registered with the IRS because it is a government entity (e.g., City of San Bernadino, LimeStone County Commission, public school districts, military programs) that wishes to be included in the GuideStar database:

  • must have its own Employer Identification Number (EIN), independent from that of a parent or national office, and
  • cannot have filed or is not planning to file a Form 1023, Application for Recognition of Exemption Under Section 501(c)(3) of the Internal Revenue Code, with the IRS.

 

The organization must also provide all of the following to GuideStar:

  1. a copy of the EIN issuance letter, showing that the IRS accepted the request for an EIN;
  2. statement on letterhead stating that the organization is a government entity, and
  3. the year the organization was founded.

Nonprofit income of less than $5,000

An organization that is not required to file for charitable status with the IRS because it "has gross receipts in each taxable year of normally not more than $5,000" that wishes to be included in the GuideStar database:

  • must have its own Employer Identification Number (EIN), independent from that of a parent or national office,
  • must have filed a Form 990-N with the IRS, and
  • cannot have filed or is not planning to file a Form 1023, Application for Recognition of Exemption Under Section 501(c)(3) of the Internal Revenue Code, with the IRS.

The organization must also provide all of the following to GuideStar:

  • the year it was established;
  • a copy of its EIN issuance letter, showing that the IRS accepted the request for an EIN;
  • a signed copy of a certificate of incorporation, filed with the state and stamped by that authority, OR a complete, signed copy of its articles of incorporation;
  • a copy of a business license if required by the state in which the organization is located, that includes the organization's EIN;
  • a complete, signed copy of its bylaws if required by the state in which the organization is located.

Organization under a group exemption

An organization that has not registered with the IRS because it is covered under a group exemption (e.g., chapters of the Alzheimer's Association) that wishes to be included in the GuideStar database:

  • must have its own Employer Identification Number (EIN), independent from that of a parent or national office, and
  • cannot have filed or is not planning to file a Form 1023, Application for Recognition of Exemption Under Section 501(c)(3) of the Internal Revenue Code, with the IRS. 

The organization must also provide all of the following to GuideStar:

  1. a copy of the EIN issuance letter, showing that the IRS accepted the request for an EIN, and
  2. a copy of a charter or other documentation stating that the organization is an official chapter or affiliate of the national organization.

Small nonprofit with a 501(c)(3) fiscal sponsor

An organization that has not registered with the IRS but does have a fiscal sponsor recognized by the IRS as a 501(c)(3) organization that wishes to be included in the GuideStar database:

  • must have its own Employer Identification Number (EIN), independent from that of a parent or national office, and
  • cannot have filed or is not planning to file a Form 1023, Application for Recognition of Exemption Under Section 501(c)(3) of the Internal Revenue Code, with the IRS.

The organization must also provide all of the following to GuideStar:

  • a copy of the EIN issuance letter, showing that the IRS accepted the request for an EIN;
  • a copy of the organization's registration with the appropriate state governing office; and
  • a copy of a letter from the fiscal sponsor that acknowledges the fiscal sponsor agreement between the two entities.

Ministry

GuideStar automatically creates a Nonprofit Profile for 501(c) organizations registered with the IRS. Please forward a copy of the Letter of determination issued from the IRS confirming exempt designation. This is a requirement for ministries. Ministries must have an IRS letter of determination in order to be listed.

I'm unsure if my nonprofit is listed on GuideStar
